2024/ 2025 Wedding Terms & Conditions

Booking Fee

Weddings under £500.00 :

To book your wedding flowers we kindly ask for the quoted amount to be paid in full. This is non-refundable and one paid, your event is booked with us. By paying the full amount to secure your wedding date with King.Witham, you agree to the following Terms and Conditions.

Weddings over £500.00 :

To book your wedding flowers we kindly ask for a £250.00 booking fee. This booking fee is non-refundable and is deducted from your final wedding flowers invoice. Once the booking fee has been received, your event is booked with us, and dates are secure unless stated otherwise. By paying the booking fee to secure your wedding date with King.Witham, you agree to the following Terms and Conditions.

Quotation & Payment

A quotation for the cost of your wedding flowers will be sent to you after your free 30 minute consultation. Prices given in this proposal should be taken as a guide, and you are free to make changes to your order up until your final payment date. You will receive a final invoice approximately 8 weeks before your wedding. Payment is accepted by bank transfer. Payment in full is required at least 4 weeks before your wedding day. If payment is not received before this date, we reserve the right to cancel any wedding flowers.

Cancellation

In the unfortunate event that the wedding is cancelled, the booking fee cannot be refunded. Complete cancellation of the wedding must be advised in writing.

Cancellation charges:

From booking until 6 months prior to the wedding date: loss of £250.00 booking fee.

3-6 months prior to wedding date: 50% of balance

1-3 months prior to wedding date : 75% of balance

Up to 1 month prior to wedding date : 100% of balance

In the unlikely event that we have to cancel for unavoidable circumstances, for example in the event of fire, natural disaster, death, serious family illness or tragedy all money paid by the client will be repaid. King.Witham are only responsible for refunding money paid, and not anything to do with any other costs incurred by the inconvenience.  All reasonable efforts will be made by us to find a replacement florist option to be paid for by the client. If we have to take the decision to cancel due to slander, abusive conduct etc, all money paid is forfeit and there is no right to any refund.

 

There are no refunds for cancellations of individual items after the final balance has been paid, unless by the agreement of both parties. Cancellations made less than two weeks before the wedding date may forfeit full payment if we have ordered flowers from suppliers and the order cannot be cancelled. 


 

Availability of Flowers

As we use purely British grown flowers, we do not guarantee specific stem types. We will work with your preferences and if available we will include your specified flowers/foliages. Working with the seasons and unpredictable weather patterns means that we will choose the best stems available to us at the time of your wedding.

 

Delivery

King.Witham charges for travel at a cost of 50p per mile. Travel time is charged at £40.00 per hour, with the first hour of travel time complimentary on the first day. Please note that for bigger structures we may need to hire in a van or extra help with delivery which will be charged at the appropriate cost.

Incorrect personal details may lead to problems or delays in delivery, so before placing or confirming your order for a product or service, please ensure that you, the event commissioner, have provided full address and telephone details, including an accurate postcode of the venue or agreed recipient and your contact telephone number or e-mail address so that we can notify you in the event that any delivery problems are encountered.

The event commissioner’s flowers will be delivered or set up at a time previously agreed between King.Witham and you, the event commissioner. If for any reason we are not able to meet the delivery or set up time, the event commissioner will be notified as soon as is feasible.

 

Installation

In some circumstances, such as larger weddings which require multiple large arrangements, we will need to hire in extra help with installation which will be charged at the appropriate cost. 

 

Hire of vases, china, archway mechanics etc.

Charges will be made for any damage to glassware/china etc. Replacement of goods is charged at the current purchase price and we will provide you with a list of hired items and their replacement costs before the wedding.  It is the responsibility of the hirer to reclaim any of these costs from the venue if the venue was at fault. Equipment hired remains the property of King.Witham at all times and should be returned/collected at the prior agreed date. 

 

Clear up service

We are happy to offer a clear up service after your wedding. Prices start at £150.00, plus travel and travel time. If you would like to keep any of the flowers after your day, we recommend that you source appropriate buckets to put your stems in to keep them fresh, which we kindly ask you to do before we arrive to clear up. Alternatively, we are happy for you to return any hired empty vessels to us in the two days after your wedding to our addresses at either NR28 0NG or NR13 3NH.

Photographs

King.Witham reserves the right to take photographs of flowers and the setting prior to the event which may be used for promotional purposes.

Responsibility

King.Witham accepts no liability for injury, loss or damage to the hirer or any third party with regard to any equipment hired for use at the event.

It is up to the client to provide correct locations for deliveries. We shall not take responsibility for lateness caused by an incorrect address.

Pinning of buttonholes/corsages on dresses and suits is done at the wearers own risk. King.Witham cannot be responsible for any snagging, staining or tearing to delicate materials by any pins or fastenings we supply. We recommend the bridal and bridesmaid bouquets be removed from their water vase if possible, 30 minutes before usage and the stems dried thoroughly to avoid water being dripped onto dresses etc. 

Your quotation includes the cost of setting up the agreed floral elements of your wedding. On the day we cannot help with any other additional styling services or any other assistance your guests may require.

Plant material can be harmful if consumed. For young bridesmaids and page boys, please make them aware of the dangers of eating any of the elements in their flowers.

If any elements are being transported from one venue to another by anybody other than King.Witham you do so at your own risk.

All flowers will be delivered to you in prime condition in water or suitable packaging for maximum shelf life. It is the responsibility of the receiver/caterer/venue to make sure that the flowers are kept in optimum conditions according to King.Witham’s instructions. Because of the perishable nature of flowers, the event commissioner will be advised upon delivery how to store/care for your product and we ask that you fulfil this. Usually, the instruction will be to keep the product in a cool place, away from draft, heat or strong fumes, and if a bridal and bridesmaid bouquet, in a vase of water until usage. 

Complaints

Any complaints must be made within 24 hours along with photographic evidence. No responsibility can be taken with regards to poor condition once flowers have been approved.

Terms and conditions may be updated at any time. By paying your booking fee, you are agreeing to any changes that are made. These will always be minor changes to wording only, and any major changes will be presented to you via email.
